Vendor Contract

You must provide your own tables, chairs, displays, extension cords, hoses, and tents. Give us as much information as possible as this will help us decide the best location for you.  We will do our best to accommodate special needs and requests.

If you are attending Fall Harvest, please select the days you will be vending.

Gates open 3 hours before event for set up.  Setup is to be completed 30 minutes before event start. All booths must remain up and active until the close of the event.  We ask that everyone have their booth removed 2 hours after event time. It is understood that the Steppingstone Farm Museum is not liable for any loss or damage to my property, injuries, theft incurred at the event, or exposure to COVID-19.  We require vendors to clean up their area at the conclusion of the event. Vendors must agree to all provisions as attached.


Provisions for space(s) at Steppingstone Farm Museum events:

 

  1. Application must be filled out and signed, and designated vendor fee must be paid. In the event that a vendor cannot make it to the event, the vendor fee is nonrefundable. SFM makes no guarantee on the amount of sale or attendance for events.

  2. Alcoholic beverages can only be purchase through approved vendors.

  3.  Controlled substances are prohibited.

  4. Smoking is prohibited except in designated paved areas, we need to protect our grounds and historic structures and the health of our visitors. 

  5. Any music/video presentations must keep the volume levels down to prevent any disturbance to others.

  6. For your convenience, upon your arrival and departure, you will be able to pull up to your spot and (un)load.  However, all vendor vehicles must be parked in the designated “vendor parking” area for the duration of the event (the parking signs will direct you to this area). Your vehicle may not re-enter the festival grounds until one half hour after we close to the public. If you are serving out of a food truck or trailer, you may pull into your spot and park. All other vehicles must be moved to the vendor parking area, unless otherwise discussed with SFM staff. 

  7. SFM retains all rights to restrict or reject any display and/or application.  Demonstrators and vendors are required to keep with the overall family-oriented theme of the events and all booth areas are to be kept tidy.  No real or toy guns, knives, fireworks or other similar items are to be sold other than historical reproductions with express permission of museum.

  8. SFM is not responsible for any lost, broken, stolen or damage to displays, merchandise or personal items.  Management is not responsible for any electrical power outages.

  9. SFM officials reserve the right to rule on any question that is not addressed in this contract without grief or recourse.  Interpretation by the Steppingstone Museum Board of all rules, are final and binding upon all vendors and demonstrators.

  10. We will be following current COVID-19 mandates and regulations. If you are sick or may have been exposed, please stay home. We will have hand sanitizer available at the welcome table, but encourage each vendor to take necessary precautions and bring their own sanitizer. By attending you, your employees and business shall defend, indemnify and hold harmless Steppingstone Museum Association, INC. (Steppingstone Farm Museum) and its employees, officers, and agents against and from any and all liability or claim of liability in regards to any situation that may arise from being exposed to or contracting COVID-19 at this event.

  11. If you need more than the indicated space size, please indicate the need of side-by-side spaces on your signed application so that the necessary arrangements can be made.

  12. Food vendors are responsible for acquiring applicable permits and licenses for Harford County & complete our food vendor contract.

  13. Vendors are responsible for manning their booth at all times. Please arrange for someone to cover your breaks.

  14. We create Facebook events for our festivals please share our page or post that you will be there.  Do not create separate event pages as it confuses the public.

  15.  All events are rain or shine. Rain coverage is the responsibility of the demonstrator.
